Setting Up Your Drilling Workspace

Creating Clients, Contracts, and Projects

This guide will walk you through the essential steps to set up your workspace by creating clients, cost contracts, and projects in CorePlan. By following this process, you’ll establish a solid foundation for managing your operations effectively.

We recommend creating these in the following order because each step builds upon the previous one, forming a logical hierarchy that ensures proper organisation, linkage, and functionality within CorePlan.

  • Client → The primary entity that owns contracts and projects.

  • Cost Contract → Financial details that apply to projects under the client.

  • Project → Operational activities that depend on both the client and cost contract.


1. Creating a Client

Clients are the cornerstone of CorePlan’s project hierarchy, and their setup ensures seamless sharing of plods and project information.

Steps to Create a Client

  1. From the Global Dashboard, Click Clients in the menu on the left.

  2. Click + New Client in the top right.

  3. Enter the client’s name and email address. The email address is used to send verification emails and grant the client access to view plods shared by your organisation.

  4. Click Create.

If the client’s contact details change, you can edit their information by navigating to the Clients section, selecting the client, and clicking Edit.

2. Creating a Cost Contract

Cost contracts define the financial framework for your projects, including time activities, minimum drilling rates, and other cost rates.

How to Set up a Cost Contract:

  1. From the Global Dashboard, Click Cost Contracts in the menu on the left.

  2. Click + New Cost Contract in the top right.

  3. Fill in the following fields:

    • Contract Client: Select the client this contract applies to.

    • Contract Name: Enter a unique name for the contract.

    • Currency: Choose the currency for the contract

    • Start Date: Enter the start date for the contract.

    • (Optional) End Date: Specify an end date if applicable.

  4. Click Save. Once created, the contract will be in Draft status until activated.

3. Creating a Project

Projects are where all your efforts come together. After setting up clients and cost contracts, you can create a project. See the article Manage Projects for more information about creating and managing projects.

To Create a Project:

  1. From the Global Dashboard, Click Projects in the menu on the left.

  2. Click + Create New Project.

  3. Fill in each tab. The tabs are the same as the settings for the project and can be changed at any time by going to Project Settings at the bottom at the left menu from any Project. To find more information about Project Settings see the article “Project Settings”

  4. Details: Add the name and select the client.

  5. General Settings: Add the Coordinate Reference System, timezone and currency.

  6. User Access: Add users to the project

  7. Drill Holes: Allow duplicate drill hole coordinates

  8. Plods: Configure plod settings like approval workflow, notifications, and shift times.

  9. Click Create.

Tips:

• You can edit project settings anytime by clicking the project name and selecting Edit.

• Use the global zone map to identify the correct coordinate reference system for your project.

4. Linking Clients, Contracts, and Projects

Once the individual components are created, you can link them to streamline operations:

  1. Assign a client to the project.

  2. Attach the relevant cost contract to the project.

  3. Ensure cost rates in the contract are active for the project timeline.

Managing Multiple Relationships

The flexibility of CorePlan allows for various configurations to suit your operational needs:

  • Multiple Contracts per Client: Each client can have multiple contracts associated with them, such as different contracts for separate drilling programs or cost structures.

  • Multiple Projects per Client: A client may have multiple projects running simultaneously, with each project potentially tied to its own contracts.

  • Multiple Projects per Contract: A single cost contract can span multiple projects, making it easier to manage if similar cost rates apply across projects.

  • Multiple Contracts per Project: If a project involves distinct drilling types or phases (e.g., surface and underground drilling), multiple cost contracts can be associated. However, only one cost contract can be applied per plod to ensure accuracy in billing.

Tips:

  • To update a cost contract for an existing project, create a draft contract, end the current one, and activate the new contract.

  • If you have multiple contracts per project, you will see a Contract field when creating a plod. If it is missing, contact Help Centre to activate it.
